Payment List: Reviewing Payments and Refunds

The Payment List helps you review payments and refunds recorded for your clients and suppliers. It combines transaction details, payment statuses, amounts, and business information so you can find a payment and open it for further action.

You can access payment lists through the Menu > Payments and Balance > View Payments and open the relevant payment view. You can also review a specific supplier or client's payments from the Payments tab of its record.

The Payment List can be used to:

  • find payments received from clients or made to suppliers

  • review client and supplier refunds

  • distinguish pending payments from paid or voided payments

  • filter by transaction details, dates, status, and payment method

  • review payment totals by status

  • open an individual payment to update it or manage its document relationships

  • export payment information

How the page works

The list displays payment records, rather than invoices or balance movements.

The payment view you open determines its scope. Views can relate to sales invoice payments, purchase bill payments, sales return refunds, or purchase return refunds. A list opened from a supplier or client record is restricted to that business.

A dashboard view can also apply saved filters and a date range.

For an overview of amounts owed to and by your company, use View Balances. For the events that changed one business's balance, navigate to the related business entity (supplier or client), and use its Customer Statement.

Understanding the payment columns

Transaction Number

The identifier assigned to the payment. Select it to open the Payment form.

Payment Date

The date recorded for the payment. This can differ from the date the record was created in Megaventory.

Created and updated dates

The created date indicates when the payment record was added. The default list ordering shows the most recently created records first.

An updated-date column is also available through Choose Columns.

Transaction description, payment type, and invoice type

These fields help identify the purpose of the payment:

- Payment represents a payment from a client or to a supplier.

- Refund represents money returned to a client or received back from a supplier.

- The invoice type distinguishes sales, purchases, and return-related transactions.

A positive payment amount does not by itself indicate whether money is incoming or outgoing. Read it together with the payment type and supplier/client context.

Status

The status identifies the payment record's current state:

Status

Meaning for reviewing the list

Pending

Recorded but not yet marked Paid.

Paid

Recorded as paid and included in paid-payment calculations.

Voided

Voided rather than deleted; any previous paid balance effect is reversed.

Failed

Recorded with a failed status

Rejected

Recorded with a rejected status.

Undefined

No defined payment status is recorded.

Paid, Pending, and other statuses are separated in the amount summaries. Voided records are shown in red; Pending, Failed, Rejected, and Undefined records are shown in gray.

Marking a record Paid records its status in Megaventory. It should not be treated as evidence that this screen has executed a bank transfer or card charge.

Payment method, amount, and currency

The payment method identifies the method recorded for the transaction. The Amount column shows the payment amount.

Use Choose Columns to display the currency column when reviewing payments in more than one currency. Compare amounts only after confirming their currency.

Supplier/Client and Company

These identify the business associated with the payment and the company that owns the payment record. Company information is displayed where multiple-company configuration makes it applicable.

Additional columns include comments, billing address, payment application reference, email address, and tax ID. Use Choose Columns to display the details you need.

Filtering and organizing payments

Use the filter row and column filter controls to narrow the list, then apply your filters.

Common uses include:

  • filtering the status to Pending when reviewing payments awaiting confirmation

  • filtering to Paid when reviewing recorded settlements

  • searching for a transaction number or a supplier/client name

  • filtering by payment date, payment method, or invoice type

  • showing the currency column and filtering to one currency before comparing totals

You can also sort columns, use Choose Columns to adjust the view, and use Reload where it is available to refresh the results.

Clearing grid filters does not change the underlying scope of the payment view. For example, a list opened for one supplier remains specific to that supplier.

Understanding the totals

The Amount summary separates records into:

  • Paid: the sum of amounts for Paid records

  • Pending: the sum of amounts for Pending records

  • Other: the sum of amounts for all remaining statuses, including voided, failed, rejected, and undefined records

These are sums of payment-record amounts, **not a net supplier/client balance**. Refunds are payment records with their own type; do not assume that the summary subtracts refunds from payments.

If the results contain more than one currency, the currency summary identifies them as multiple currencies. The list does not convert those amounts into a single reporting currency. Filter to one currency before interpreting an amount total.

The Other total is not an amount waiting to be paid: it includes statuses such as Voided.

Opening and managing a payment

1. Find the payment using its Transaction Number, business name, date, or other details.

2. Select the Transaction Number.

3. Review its status and document relationships (to which invoice/bill it relates to).

4. Use the available actions in the payment form to update it, mark it Paid, void it, or unvoid it.

5. Return to the list and refresh it if needed.

Use the payment form for changes. The fields and actions available depend on the payment's status, origin, relationships, and your permissions.

When working in a supplier or client's Payments tab, the new-payment action opens a form for that business. You can also start from Add Payment From Client or Add Payment To Supplier in the Payments and Balance menu.

Exporting payments

Use the export icons to download Excel, PDF, or CSV files.

Select rows first if you want to export only those records. With no rows selected, the export uses the grid results. Check the payment view, filters, and currencies before exporting.

Important notes

- Access requires permission to view Payments. Supplier/client-specific access can further restrict the list.

- Pending records do not reduce a supplier/client balance until they are marked Paid.

- A paid payment can exist without a document relationship. Review the payment's relationships when checking whether it settles a particular invoice.

- If a payment is missing, check the payment view, dashboard date range, filters, business context, and permissions.

- Use Void, rather than looking for a payment Delete action, when a payment needs to be invalidated. See the restrictions in Adding, Updating and Managing Payments.
